When you choose to use our live chat, Modern Office and our live-chat provider may monitor, record, transcribe, and store the chat and related metadata. This may include your messages, name, email address, department selection, IP address, device and browser information, page context, and timestamps. By starting or continuing a chat after receiving a recording notice, you consent to this processing. If you do not consent, do not use the chat and contact us by email or another available method.

Do not send payment-card numbers, bank information, Social Security numbers, medical information, government identification, passwords, or other sensitive information through live chat.

3. Personal Information We Collect

The personal information we collect depends on how you interact with us and may include the following:

• Identifiers and contact information. Name, company or organization, job title, mailing address, billing address, delivery address, email address, telephone number, account identifiers, and authentication information.
• Customer and commercial information. Products viewed, searches, cart contents, orders, quotes, purchase orders, requested delivery dates, transaction history, returns, warranties, preferences, and customer-service history.
• Payment and transaction information. Billing details, payment method, transaction status, tax status, and fraud-prevention information. Payment providers generally process full payment-card details. We receive information needed to complete and document the transaction.
• Quote and purchase-order information. Products, quantities, organization details, contact roles, delivery instructions, comments, authorizations, purchase-order documents, tax-exemption documents, and other material you submit.
• Communications and content. Emails, form submissions, reviews, questions, newsletter choices, chat messages and transcripts, call audio or transcripts where enabled and disclosed, attachments, and related metadata.
• Device, network, and online activity information. • Location information. Approximate location derived from an IP address and more precise information only if a device or browser provides it and the collection is enabled and permitted.

Please do not provide sensitive personal information we have not requested. Limit free-text fields and uploaded documents to information needed for the request or transaction.

These technologies operate the storefront, cart, checkout, and requested forms and help protect the Services and prevent fraud. Providers may include Turbify or Yahoo Store, payment and security providers, and Google reCAPTCHA.

Analytics, Testing, and Replay

These technologies measure traffic and performance, diagnose errors, help us understand interactions, test experiences, and replay sessions where enabled. Providers may include Google Analytics, Matomo, Microsoft Clarity, VWO, Formstack Analytics, Sentry, and Wistia.

Advertising and Attribution

These technologies measure campaigns and conversions, attribute calls, forms, and orders, create audiences, retarget ads, and support targeted advertising. Providers may include Google Ads, Meta, Microsoft Advertising, LinkedIn, Pinterest, Taboola, Criteo, Connexity, Wicked Reports, and CallRail.

Marketing, Personalization, and Identity

These technologies manage subscriptions, recognize browsers or profiles, infer interests, personalize offers, and link activity where permitted. Providers may include Klaviyo, Remarkety, OptinMonster, and approved personalization or identity partners.

Communications and Website Content

These technologies provide chat, forms, reviews, questions, video, maps, search, accessibility, and trust features. Providers may include Provide Support, Formstack, Shopper Approved, Answerbase, Wistia, Google Maps, accessiBe, and TrustedSite.

You may use Cookie Settings, if displayed on the Services, to manage nonessential technologies. Where required, we do not activate a nonessential category until your choice permits it. You may also email customersvc@modernofficefurniture.com with the subject "Privacy Opt Out" to opt out of disclosures treated as sale or sharing and processing for targeted advertising. We process legally recognized browser-based opt-out signals, including Global Privacy Control, where required. Browser controls may also block or delete cookies, but doing so can affect functionality.

Session-replay and diagnostic tools can capture how a page is used. We configure them to mask or exclude sensitive fields and pages and do not intend them to collect payment-card numbers, passwords, uploaded documents, chat content, or other fields we designate as excluded. Do not enter sensitive information in fields that do not request it.

7. How We Disclose Personal Information

We may disclose personal information to the following categories of recipients:

Providers may change as the Services evolve. Their independent processing may also be governed by their privacy notices.

8. Sale, Sharing, and Targeted Advertising

We do not sell personal information for money. We may disclose identifiers, device and network information, online activity, approximate location, commercial information, advertising identifiers, and inferences to advertising, analytics, attribution, personalization, and identity partners in ways that some state laws define as a sale, sharing, or processing for targeted advertising. Depending on where you live, you may opt out by emailing customersvc@modernofficefurniture.com with the subject "Privacy Opt Out" or by using a legally recognized opt-out preference signal. We do not knowingly sell or share personal information of consumers under 16 for targeted advertising.

9. Marketing Communications

You may unsubscribe from promotional emails using the link in the message. Signing up is optional and is not required to purchase. We may continue to send nonmarketing messages such as order, support, security, and privacy-request communications. We retain limited suppression information so that we can honor an opt-out.

10. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including to provide Services, complete transactions, maintain tax and business records, honor choices, prevent fraud, secure systems, resolve disputes, enforce agreements, comply with law, preserve evidence, and establish, exercise, or defend legal claims. We consider the nature and sensitivity of the information, the purpose of processing, the relationship, legal and contractual duties, limitation periods, system constraints, and whether information can be aggregated or deidentified.

• Order, payment, shipping, tax, warranty, and accounting records are retained for applicable legal, contractual, audit, support, and dispute periods.
• Quote, purchase-order, uploaded-document, support, chat, call, and form records are retained for service delivery and a reasonable period for quality, recordkeeping, security, disputes, and legal claims.
• Marketing profiles are retained while the relationship or campaign purpose remains active. Minimal suppression records may be kept longer to honor opt-outs.
• Cookie, analytics, advertising, attribution, identity, testing, and replay data follows configured retention periods and is deleted or deidentified when no longer reasonably necessary.
• Legal holds, investigations, and claims may require us to preserve relevant information beyond an ordinary schedule.

We do not knowingly sell or share personal information of consumers under 16. Section 11 explains how to exercise privacy rights. We do not offer a financial incentive or price difference in exchange for personal information unless we provide a separate notice when you enroll.

13. Security

We use administrative, technical, and physical safeguards designed to protect personal information in light of its nature and our operations. No transmission or storage method is completely secure. Avoid sending sensitive information through chat, free-text fields, or documents unless we specifically request it and provide an approved secure method. 14. Children

The Services are intended for business and general consumer purchasing and are not directed to children under 13. We do not knowingly collect personal information from children under 13.
